Emergent Technologies, LLC (“Emergent Technologies,” “we,” “us,” or “our”) develops and operates web applications and related services. This Privacy Policy explains how we collect, use, protect, retain, and disclose personal information in connection with applications and messaging services that link to or identify this policy.
This policy works alongside our Acceptable Use & User Agreement and any applicable application-specific privacy notice.
1. Who This Policy Covers
This policy applies to authorized users of our applications, including employees, contractors, administrators, customers, and affiliated personnel, as well as individuals who contact us or enroll in related messaging services.
Some applications are provided to organizations for their internal operations. When an organization supplies or manages information about you, its own policies and our agreement with that organization may also apply. Questions about organization-controlled records may need to be directed to that organization.
2. Information We Collect
Depending on the application and features you use, we may collect:
Account information. Your name, email address, account status, assigned permissions, and authentication information. Where our systems manage passwords directly, passwords are stored as one-way hashes rather than readable text.
Personnel and organizational information. Information associated with an authorized personnel record, such as badge or employee identification number, title, agency or organization, department, division, work location, and contact details.
Session and technical information. Session identifiers, IP addresses, browser information, and login timestamps used to maintain authenticated sessions, support single sign-on where available, and investigate suspicious activity.
Activity and security records. Records of logins, failed login attempts, password changes, administrative changes, and other security-relevant actions, including associated users, timestamps, and IP addresses.
Agreement and consent records. Records showing the version of an agreement or disclosure presented to you, your acceptance or consent, the date and time, and relevant account, browser, or technical information.
Mobile and messaging information. Your mobile phone number; messaging preferences; opt-in and opt-out records; and message content, timestamps, delivery status, and replies associated with communications through our services.
Application-specific information. Operational information entered into applications, such as case records, inventory, invoice approvals, training records, and related business information. Applications with materially different information practices will provide an additional notice where appropriate.
Support communications. Information you provide when requesting assistance, reporting a problem, or contacting us.
3. How We Use Information
We use information to:
- Operate, maintain, and support our applications.
- Authenticate users and enforce access permissions.
- Maintain connected sessions and single sign-on where available.
- Support authorized organizational workflows.
- Respond to questions and support requests.
- Deliver requested verification codes and opt-in scheduling and contract alerts.
- Record communication preferences and honor opt-out requests.
- Detect, investigate, and prevent misuse or security incidents.
- Maintain appropriate audit and consent records.
- Meet applicable legal, contractual, and recordkeeping obligations.
We do not sell personal information or use information collected through these applications for third-party advertising.
4. Mobile Phone Numbers and Text Messaging
We use your mobile number to send verification codes you request and operational alerts relating only to scheduling and contracts that you opt into. If you are part of a contract team and opt in, you may receive contract-status alerts triggered by a team leader or supervisor to notify that team. Being assigned to a team or contract does not, by itself, constitute messaging consent. We do not send advertising or promotional texts through this program.
Providing a phone number, creating an account, or accepting this Privacy Policy does not by itself enroll you in recurring text messages. We obtain messaging consent separately where required.
We do not sell or rent mobile phone numbers. We do not disclose mobile numbers, SMS enrollment information, or messaging consent records to other organizations or affiliates for their advertising, promotions, or independent marketing.
We permit limited processing of messaging information by providers that help us operate and deliver the messaging service, including messaging platforms and telecommunications carriers. This processing is limited to delivering and supporting communications, preventing abuse, and meeting applicable messaging requirements. Disclosures required by law may also occur.
The other disclosure provisions in this policy do not authorize the sale of mobile information or its disclosure for another party’s marketing.
Verification codes are sent in response to your requests. Scheduling and contract alerts are event-driven; their frequency depends on the notifications you opt into and relevant events, including team leader or supervisor-triggered contract updates. The applicable frequency or maximum message count is disclosed at enrollment. Your carrier may charge message or data fees.
You may stop messages from a messaging program by replying STOP. A final confirmation may be sent. For assistance, reply HELP or email info@emergentsolutions.tech. You may also contact us at that address to request that messaging stop.
Opting out of text messages does not automatically delete your account or records. We may retain limited consent and opt-out records to document your preferences and prevent further unwanted messages.
5. Access and Disclosure
We limit access to personnel who need information for authorized operational, support, security, or compliance purposes. Depending on the application, authorized administrators of your organization may also access information associated with their users and operations.
We may disclose information:
- To service providers supporting hosting, storage, backups, security, support, or communications, subject to applicable agreements and restrictions.
- To your organization’s authorized representatives where necessary to provide the application or support its legitimate administration.
- When required by applicable law or valid legal process.
- When reasonably necessary to address fraud, misuse, or security incidents, or protect legal rights and the safety of individuals.
- At your direction or with your permission for a specifically identified purpose.
Mobile numbers and messaging consent information remain subject to Section 4.
6. Hosting, Cookies, and Service Providers
Our applications use third-party infrastructure and service providers. These providers may process information as necessary to supply hosting, backups, communications, and other supporting services.
Our applications may use session cookies or similar technologies to keep users signed in, maintain security, and support connected application access. Disabling required cookies may prevent some features from working.
7. Data Retention
We retain information for as long as reasonably necessary for the purposes described in this policy, including providing services, maintaining security, resolving disputes, and satisfying applicable contractual or legal obligations.
Retention periods vary by the type of information, the application, the requirements of the organization using it, and applicable law. Session records expire according to the application’s session settings.
Security logs, agreement acceptance records, and messaging consent or opt-out records may be retained after an account closes when needed for accountability, compliance, or honoring communication preferences.
Information that is no longer needed is deleted or de-identified, subject to applicable retention requirements and backup cycles.
8. Security
We use administrative and technical safeguards designed to protect information, including access controls, password hashing where passwords are managed directly, and encrypted connections for authenticated application access.
No system or transmission method is completely secure. Users should protect their credentials and promptly report suspected unauthorized access.
9. Access, Corrections, and Privacy Requests
To ask about information associated with you, request a correction, or submit a privacy request, contact your system administrator or info@emergentsolutions.tech.
We may verify your identity before responding. When information is controlled by your organization, we may refer the request to its authorized administrator or assist that organization in responding.
Requests are handled according to applicable law and the circumstances of the record. Some information, including security logs, audit records, and records subject to retention obligations, may need to be preserved. Nothing in this policy limits rights available under applicable law.
10. Changes to This Policy
We may update this policy as our services or information practices change. The revised policy will show its effective date. We will provide notice of material changes as appropriate and obtain additional consent when required.
A policy update does not automatically enroll you in messaging or expand an existing messaging consent.
11. Relationship to Other Agreements
The Acceptable Use & User Agreement governs authorized use of our systems. This Privacy Policy describes our handling of personal information.
Neither agreement overrides applicable privacy rights or the mobile-information protections in Section 4. Where an application-specific notice applies, it will explain the relevant differences.
